What Samples and Specifications Are Needed Before Ordering a Packaging Machine?

1. Physical samples: send complete packaging sets

Provide empty containers, caps or pumps, labels, cartons and any inserts used in production. Include the smallest and largest formats, plus any container that is unusually soft, tall, transparent, unstable or irregular. Samples should match the final production material and dimensions whenever possible.

For labeling projects, include labels on the actual roll—not only artwork files. For capping, include closures and inner plugs. For cartoning, include the unfolded carton and the product that must enter it.

2. Product samples and safety information

The supplier needs to understand viscosity, density, foaming, particles, stringing, temperature, corrosiveness and cleaning requirements. Send a safe representative sample when shipping rules permit. If the real product cannot be shipped, provide a substitute with similar flow behavior and the relevant safety data.

Products with special compatibility requirements may need equipment from the corrosion-resistant filling range or different wetted materials.

3. Specifications to document

Create a format table for every SKU: container dimensions, neck size, fill volume, target tolerance, cap type, label size, carton size and desired output. State the available power supply, compressed-air pressure, workshop temperature, hygiene requirements and usable floor space.

Also describe upstream and downstream equipment. A filler cannot be evaluated in isolation if the real line includes feeding, capping, labeling, coding or case packing.

4. Production targets must be realistic

Define speed in finished containers per minute and specify the product, volume and container used for that target. Higher fill volumes, foaming liquids, manual loading and complex caps can reduce output. Include daily shifts, batch sizes, planned SKU changes and acceptable changeover time.

5. What a useful sample test should show

Ask for video or documented results covering feeding, filling, capping or labeling, not only a few successful cycles. Observe splashing, dripping, trapped air, cap orientation, label wrinkles, sensor detection and container stability. Confirm the tested speed and test duration.

Agree on acceptance criteria before the test: fill accuracy, output, reject conditions, finish quality and changeover steps. This makes later approval more objective.

6. Before requesting a quotation

A complete inquiry normally includes product photos or video, sample dimensions, output target, utilities, destination country and required automation level. Missing information is not automatically a problem, but it should be identified as an assumption in the proposal.
